JOB SPECIFICATION - ACTIVE VACANCY

Overview of Role

Lesira-Teq is a smart metering and technology business operating across manufacturing, engineering, IoT and digital solutions. As the organisation continues to strengthen its operating model and build the capabilities required to support future growth, the Human Resources function plays an important role in enabling effective people administration, governance and employee support.

We are seeking a detail-oriented and organised Human Resources Administrator Intern who is immediately available to provide administrative and operational support to the Human Resources department. Reporting to the HR Manager, the incumbent will support accurate employee records, time and attendance administration, HRIS maintenance, onboarding, employee queries, payroll input preparation, meeting coordination, document management and monthly HR reporting. The role provides practical exposure across the employee lifecycle while supporting the efficient day-to-day functioning of the HR department.

Responsibilities

  • Time & Attendance Data Control: Capture and verify employee attendance, biometric clocking records, and shift timesheets. Identify missing clockings, incorrect shift allocations, or discrepancies, follow up with employees, supervisors, and relevant departments to resolve queries, and prepare verified attendance data (escalating unresolved discrepancies) ahead of payroll cutoffs.
  • HRIS & Employee Records Management: Capture and maintain accurate employee data on the HRIS and in organised physical and digital personnel files. Assist with preparing standard employment contracts, letters, and HR forms for review and approval, while assisting with filing, document control, authorised retrieval of employee information, and strict confidentiality.
  • HR Administration, Telephone Management & Onboarding Support: Manage the HR department cell phone/telephone line, answer requests, take accurate messages, direct enquiries, respond to routine administrative queries, and escalate complex matters to the HRBP or HR Manager. Coordinate new-hire onboarding administration ahead of start dates (document collection, welcome packs, and arrangements with IT and other departments) and schedule HR meetings, prepare agendas and supporting documents, record and circulate minutes, and maintain action registers.
  • HR Compliance & Reporting Assistance: Assist with collecting, checking, and consolidating HR data for monthly internal reports, spreadsheets, administrative registers, and statutory submissions. Assist with preparing employee records and supporting documentation for audits and compliance reviews, maintain compliance filing systems, and escalate missing information, inconsistencies, or outstanding documentation.
  • Ad-Hoc Duties: Perform routine data-entry, filing, and administrative duties as assigned by the HR Manager.

Qualification

  • Completed Diploma or Degree in Human Resource Management, Industrial and Organisational Psychology, or an equivalent HR-related qualification.

Experience

  • 0 to 1 year of experience in HR administration or general office administration. Academic projects, workplace exposure, or previous internship experience involving data capturing, recordkeeping, or administrative support is advantageous.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook—with the ability to prepare spreadsheets, maintain registers, draft standard correspondence, and compile basic reports), strong administrative coordination (organising documents, maintaining filing systems, scheduling meetings, and recording minutes), and a basic understanding of HR Information Systems (HRIS) and time-and-attendance systems.

Personal Characteristics

  • Meticulous attention to detail, high numerical and data-entry accuracy, strict confidentiality with sensitive compensation, biometric, and personal employee records, a strong customer service orientation, and solid planning, organisation, and time management skills to meet agreed deadlines.
